Event Policies

Terms, Conditions, and Refund Policies

  1. Conference participation

To participate in the Conference, participants must be registered.

 

  1. Registration and payment

Participants must:

Register for the Conference through the online form on the Conference’s website;

Pay the Conference fee as determined by the Rotary District 5020 Organizing

Committee; and

Provide accurate and complete information, particularly in all fields marked with an asterisk (*) during registration.

 

  1. Date changes

The Rotary District 5020 Organizing Committee:

May change the Conference date due to unforeseen circumstances;

Is not responsible for reimbursing any additional expenses incurred by participants in relation to the Conference.

 

Participants, under these conditions:

Have the right to cancel their participation without penalty.

 

  1. Program changes

The Rotary District 5020 Organizing Committee:

Reserves the right to modify the list of speakers, agenda, or event activities due to circumstances beyond its control.

Reserves the right to modify the list of speakers, agenda, or event activities due to circumstances beyond its control.

 

  1. Liability

The Rotary District 5020 and the Organizing Committee:

To the fullest extent permitted by law, the Rotary District 5020, its Organizing Committee, affiliates, officers, directors, agents, volunteers, and employees shall not be liable for any direct, indirect, incidental, special , consequential, or exemplary damages resulting from any matter relating to the Conference or any other related activities.

In no event shall the Rotary District 5020 or its Organizing Committee’s total liability for all damages, losses, and causes of causes (whether in contract, tort, or otherwise) exceed the amount paid by you, if any, for accessing or participating in the Conference or related activities.

By participating in the Conference and related activities, you agree to release, indemnify, and hold harmless the Rotary District 5020 and its Organizing Committee from any and all losses, damages, rights, claims, and actions of any kind including without limitation, personal injury, death, property damage, either directly or indirectly related to or arising from your participation in the Conference or related activities.

This limitation of liability applies to the fullest extent permitted by law and shall survive any termination or expiration of this policy.

 

5.1 Property

Rotary District 5020 and the Organizing Committee:

Are not responsible for the loss, damage, or theft of participants’ personal property.

 

Participants:

Are responsible for taking appropriate precautions to safeguard and insure their belongings.

 

5.2 Health

Rotary District 5020 and the Organizing Committee:

Will take all reasonable steps to ensure the conference facilities are safe and free from hazards; and

Are not liable for any sickness or health issues that may arise as a result of participation at the conference.

 

Participants:

Will act in a manner that protects their health to the level with which they are comfortable.

 

5.3 Personal Accidents

Rotary District 5020 and the Organizing Committee:

Are not liable for any personal injuries, accidents, or incidents that participants may incur while engaging in any event-related activities.

 

Participants:

Will act in a reasonable manner understanding that engaging in sporting event activities, such as golf and kayaking, may involve inherent risks;

And will be responsible for ensuring that they have adequate insurance coverage; and

Acknowledge that they are participating at their own risk.

 

  1. Refunds

6.1 Notification of Changes

In order to receive a refund, participants must notify the Chair of the Organizing Committee by email of any requests for changes, substitutions, and / or cancellations.

 

6.2 Refund Deadline

The Rotary District 5020 and the Organizing Committee:

Will issue full refunds for cancellations that are received by email by no later than February 1, 2024;

Will issue a refund of 50% for cancellations received between that date and April 1, 2024;

Will not issue any refund for cancellations received after April 1, 2024, for ‘no shows’ or for cancellations on the day of the event.

 

6.3 Refunds for Specific Packages

The same refund deadlines apply for registrants for specific packages such as “Training and Conference + Games for Polio Package” or “Swing into Action Golf Tournament”.

 

The Rotary District 5020 and the Organizing Committee:

Will communicate specific conditions related to packages separately.

 

  1. Force Majure

7.1 The Rotary District 5020 and the Organizing Committee shall not be held responsible for any delay or failure in performance of their obligations to the extent such delay or failure is caused by fire, flood, strike, government or military intervention, acts of God, or other similar causes beyond their control.

 

  1. Acceptance of Terms

By registering and paying the registration fee, participants agree to these terms and conditions.
